Job description
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to senior management, including directors, executives, and committees. The ideal candidate will have excellent time-management skills, a keen attention to detail, and the ability to handle multiple tasks efficiently.
Key Responsibilities:
1. Travel Arrangements:
• Plan and organize domestic and international travel for senior management.
• Book flights, accommodations, transportation, and ensure all logistics are in place.
• Prepare travel itineraries and handle any last-minute changes.
2. Meeting Planning & Scheduling:
• Coordinate and schedule meetings, conferences, and appointments for senior management.
• Ensure proper organization and preparation of meetings, including managing calendars and sending reminders.
• Prepare meeting agendas, take minutes, and follow up on action items.
3. Research & Data Organization:
• Conduct research and gather relevant data to assist senior management in decision-making.
• Organize and present data in an easily understandable format.
• Assist with organizing and managing files, reports, and presentations for senior executives.
4. General Administrative Support:
• Handle incoming communications and prioritize tasks for senior management.
• Prepare and edit correspondence, reports, and documents.
• Perform other administrative tasks as assigned by the senior management team.
Qualifications & Skills:
• Proven experience as an Executive Assistant, Personal Assistant, or in a similar administrative role.
• Strong organizational and multitasking abilities.
• Excellent written and verbal communication skills.
• Proficiency in office software (Microsoft Office Suite, Google Workspace).
• Ability to work independently and manage confidential information.
• Excellent research, problem-solving, and data organization skills.
• High level of professionalism and attention to detail.
